Code of Practice
This Code of Practice sets out guidelines for the ethical conduct of our organisation. We are committed to the following code of practice in the provision of training services. The person responsible for disseminating information in this document to staff is the Director or their nominee. Clients enrolled in our organisation’s training courses receive this information prior to enrolling in our courses.

ACVS offers scholarships to applicants of exceptional academic excellence on a regular basis. Ask for Scholarship Application Form and we will send it to you.

Also, ACVS is approved by Centrelink for Austudy and Youth Allowances for all the courses.
    Entry requirements for local students :
    1. At least 10 years of formal schooling (HSC is preferred)
    2. Minimum 18 years of age
    3. An interest in the subject area of your choice including work experience is an advantage
    4. English proficiency
    For overseas students :
    1. At least 10 years of formal schooling (depends on DIMIA assessment level)
    2. Minimum 18 years of age
    3. An interest in the subject area of your choice including work experience is an advantage
    4. English language proficiency as set down in visa regulations. (IELTS test)
 2. Application
    The College is open to all individuals. There are 2 application forms.

    1. Application form for Australian residents
      Local applicants must produce proof of your identity and your age and meet the entry requirements. You may be asked to attend an interview to assess your suitability for the course.


    2. Application form for overseas students
      Application conditions are similar for overseas students. You must produce evidence of English proficiency and provide authenticated copies of your academic history. Overseas student must meet and maintain student visa conditions to be accepted in to the College. See additional information for overseas students below. Overseas students can apply and enrol by mail.
 3. Recognition of Prior Learning and Recognition of Qualifications issued by other RTOs
The College recognizes qualifications within the Australian Qualifications Framework issued by other Registered Training Organisations (RTO). Applicants who consider that they have completed appropriate training or have substantial industry experience can apply for recognition and may be granted credit. The request will need to be substantiated with evidence and assessed by the College. If credit is given, the course length and fees may also be reduced accordingly.
 4. Confirmation - an Offer of a Place in a Course
Once you have submitted an application form with supporting documents, this will be assessed. If successful, you will be sent an "Offer of a Place in a Course" with the College.

  1. Local applicants (Australian residents)
    You will need to confirm this "Offer of a Place in a Course" and pay the course fees at least two weeks before the course commences.


  2. For overseas students applying for a student visa
    You will need to confirm the Offer of a Place and pay course fees. The College will then send an electronic confirmation of enrolment (eCOE) and receipt which is submitted with your visa application. For more information on applying for a student visa see below.
 5. Fees and Charges
Application:
  1. The Application Fee of $150 (AUSD) is non-refundable.
Course Fees:
  1. Course fees must be paid prior to commencement of the course to confirm your place. See the details on the Course Fees form. Ongoing payment can be made by two methods.
  2. Payment plan A - A total payment for the year at the start of the year.
  3. Payment plan B - by Semester. Payments are due 2 weeks prior to the commencement of semesters in January and July.
  4. Payment plan C - In some circumstances payment s can be made by instalments. Such arrangements are at the discretion of the Directors of the College. A request should be made in writing to the College Director.
  5. The College retains reserves and identifies fees paid in advance in the accounting system. It draws down these amounts on a semester by semester basis.
Application:
  1. The Application Fee of $150 (AUSD) is non-refundable.
Additional Charges:
  1. Students are expected to purchase normal classroom supplies and specified textbooks. There are administration charges for dishonored cheques, late fee payments etc. A list of charges is available from the administration office.
 6. Deferment and Cancellation and the treatment of fees
Applications for deferment (postponing your course of study), or cancellation (terminating your course of study) must be lodged in writing. The date of notification is the date written notice is received by the College.
    For students with Australian residency
    1. Deferment -
      The College must receive one month’s written notice and all fees must be paid up to date. There is an additional deferment fee of one month's tuition fee which must be paid to hold the place in the course. Students must recommence within 12 months of the approved deferment date.


    2. Cancellation -
      Students terminating their studies prior to completion of the course must give one month’s written notice. The fees for that semester must be paid up to date. In addition, a cancellation fee of one month's fee is required. Students cancelling under these circumstances will be assessed and issued with results for the partial completion of their qualification. Fees paid in advance of the current semester will be refunded if advice in received in writing with a minimum of 28 days notice. The refund will be paid by cheque within 14 days of the Director’s approval of the application.
Students may apply for special considerations in regards to cancellations and deferments if extraordinary circumstances apply. Decisions will be at the sole discretion of the College management.
    For Overseas students
    1. Deferment -
      Overseas students cannot defer their studies under the conditions of their student visa.


    2. Withdrawal and cancellation -
      Students terminating their studies prior to completion of the course must give one month’s written notice. Students terminating their studies prior to completion of the course must give one month’s written notice. The fees for that semester must be paid up to date. In addition, a cancellation fee of one month's fee is required. Students cancelling under these circumstances will be assessed and issued with results for the partial completion of their qualification. Fees paid in advance of the current semester will be refunded if advice in received in writing with a minimum of 28 days notice. The College is required to notify the Immigration Department (DIMIA) when overseas students studying on student visas withdraw from a course. The refund will be paid by cheque within 14 days of the Director’s approval of the application for cancellation and will be posted to the students contact address in the country of origin.
    For overseas students, in the event of the Australian Embassy refusing a student visa, 100% of course fees, excluding the application fee will be refundable.
Protection of fees
Students are protected under Australia’s consumer protection laws. Fees paid by overseas students are also protected under the requirements of the ESOS Act which include assurance policies that will protect your fees.

Termination of student by the College due to disciplinary or legal breaches
College Director reserves the right to expel a student. Incidents leading to termination by the College include but are not limited to cheating, theft, wilful damage to College property, possession of illegal drugs on College premises, behaviour which is considered inappropriate, threatens the safety of other students or interferes with College operations.

Students terminated by the College will forfeit fees. Refunds for fees paid in advance will be negotiated on a case by case basis and will be adjusted to take in to account administration costs, repairs and damages or other expenses that may arise due to the circumstances leading to termination of the student.
 7. Attendance and academic performance
  1. The College program offers full time courses which involve 20 hours of study per week over 2 semesters. There are 4x10 week terms to the academic year. The College has breaks in which students can travel or return home at mid year and the end of the year.
  2. The course includes lectures, supervised practical work and group work, self-paced learning and major projects. Students are required to attend and participate in all classes as part of the competency based training and assessment in the course.
  3. Attendance records are kept and 80% attendance or greater is required to satisfy the academic requirements of the course. If your attendance or academic performance is not satisfactory you will be counselled and supported where possible.
For overseas students
If unsatisfactory attendance and or academic performance is noted, the College is obliged to notify the Department of immigration and Multicultural Affairs (DIMIA) of a breach in student visa conditions. Overseas students will be responsible for reporting to the DIMIA office to resolve these matters. If students fail to report, their student visa will be automatically cancelled and they will be subject to removal from Australia by law.
 8. Classes
All classes are conducted in English and students are expected to be proficient in English at a level, which allows them to function in the course. Students whose English language skills are judged to be inadequate will be required to take English language (ESL) courses at their own expense. Classes may be offered by the College or the student will be referred to specialist English language training providers. The student welfare officer will be available for advise and support.
 9. Class sizes
Depending on the subject and delivery, classes will have up to 20 students. Tutorials and special group work will be conducted in smaller groups of 5 - 10 students. The computer centre is supervised by a qualified instructor and times should be booked by students requiring access to complete individual work or practical projects.
 10. Support for students
College staff are available to support students needing advice on such matters are attendance, academic progress, language, literacy or special needs in relation to your course content and assessments. Reasonable adjustments can be made for students or they will be referred to external agencies for specialist support. Students should speak to the Head of Studies for matters relating to your welfare or guidance.
 11. Assessments and Examinations
Students will be required to successfully complete various course work, examinations, projects and other forms of evaluation set out in the training package assessment guidelines as interpreted by the College. Various conditions apply to eligibility for examinations, including that students will not be admitted to examinations unless the student has (i) met all current financial obligations and (ii) fulfilled the requirements of the course leading to the examination. Examinations are administered at regularly scheduled times and students must be available during examination time. Student failing to attend an examination may be liable for a separate examination fee to have an equivalent examination prepared, administered, and marked by an assessor.
 12. Reassessment
If a student fails an examination or a major assessment component of a course, he or she may re-sit the examination and resubmit the assessment task if the course trainer is in agreement. If the student fails a second time, he may repeat the required modules. Repeated modules will be charged at a pro-rata fee.
 13. Student feedback
The College will seek out various ways to hear the views of students, teachers, staff and parents on the quality of our course provision, our teachers, our staff and our services. We undertake to listen to complaints and receive feedback as an opportunity to improve the College.
 14. Complaints and grievances
  1. All students are encouraged to discuss concerns regarding their progress with the College teaching staff. If not satisfied, they should lodge a formal complaint form that is available at reception and the matter will be taken up the College Management. The complainant will be kept informed of the status of their complaint until it is resolved. If not resolved, the complainant will be advised of ways to take the matter further with an external authority.
  2. The outcome of the compliant will be noted in writing and the student will receive a copy of the document. When you commence at the College you will receive a Student handbook that provides further information on your rights and responsibilities.
 15. Student welfare
The College is concerned about the welfare of students and offers support through a student welfare officer. We will be quick to respond to unacceptable behaviour from students or staff. Discrimination, harassment or victimisation will be dealt with as per legislation and our procedures.
 16. Course completion and Graduation
To receive a qualification and graduate from the College students must achieve competency in all modules of their course. This requires a minimum attendance of 80% and a pass in all assessment tasks and examinations. Certificates will be issued at the completion of the course and presented to the student at graduation or posted by arrangement.
 17. Scholarship
Australian College of Vocational Studies reserves the right to final decision on the recipients and their number of ACVS’a scholarship programme – be it full or partial. The number of scholarships offered may vary from year to year depending on the number and calibre of students applying for scholarship and enrolment to the college.
